Join a dynamic contingent workforce program and play a key role in keeping day-to-day operations running smoothly. This coordination-focused role offers the chance to support worker onboarding, offboarding, system records, vendor administration, and cross-functional communication in a fast-paced environment.
Responsibilities
- Manage contingent worker lifecycle activities in the vendor management system, including record creation, work orders, onboarding, offboarding, extensions, assignment updates, and profile changes.
- Coordinate day-one readiness for new contractors, including access requests, equipment, badge support, and manager communications.
- Run offboarding checklists and help confirm access removal on final workdays.
- Support contractor onboarding activities, including session logistics, materials distribution, and coordination with the onboarding team.
- Assist with finance and billing operations by tracking timesheets, resolving approval and invoice issues, and flagging coding discrepancies.
- Help maintain accurate rosters across systems and support monthly program reporting.
- Keep program documentation organized and current, including shared drives, knowledge resources, intake forms, and templates.
- Support program communications through inbox management, group distribution lists, announcements, recap posts, and channel upkeep.
- Assist with vendor management administration, including gathering monthly metrics, scheduling business reviews, and tracking follow-up items.
Skills
- 2+ years of experience in HR operations, staffing or recruiting operations, or program coordination.
- Hands-on experience with a VMS or HRIS such as Beeline, Workday, Fieldglass, or a similar platform.
- Strong organizational skills and excellent attention to detail.
- Ability to manage sensitive and time-critical information with accuracy and discretion.
- Clear written and verbal communication skills with the ability to work well across teams.
- Strong prioritization and multitasking skills in a fast-paced environment.
- Customer service mindset and a proactive approach to solving problems.
Preferred Skills
- Experience supporting contingent workforce programs or staffing operations.
- Familiarity with contractor onboarding, offboarding, and worker lifecycle processes.
- Experience supporting invoice or timesheet issue resolution.
- Comfort working with multiple stakeholders across People, IT, Finance, and vendor teams.
- Experience maintaining operational documentation and internal knowledge resources.
