Join a fast-paced contingent workforce program as a coordinator focused on keeping worker operations running smoothly across onboarding, offboarding, data management, and day-to-day support. This hybrid role is ideal for someone who enjoys partnering with cross-functional teams, solving problems quickly, and creating an organized, high-quality experience for contractors and internal stakeholders.
Responsibilities
- Manage contingent worker lifecycle activities in VNDLY, including record creation, work orders, onboarding and offboarding tasks, extensions, assignment changes, and profile updates.
- Support vendor record administration and help maintain accurate system data across workforce platforms.
- Coordinate day-one readiness for new contractors, including access requests, equipment, badge arrangements, and communication with managers.
- Run offboarding checklists and confirm that access is removed by the final day of assignment.
- Help support the contractor onboarding experience, including session logistics, materials, and coordination with People Services and onboarding partners.
- Monitor and triage incoming requests from the contingent worker inbox, Jira queue, and Slack channels, resolving routine questions or routing items with context.
- Support finance and billing activities by following up on timesheets, helping trace payment and billing questions, and flagging invoice or coding issues for resolution.
- Reconcile worker rosters across VNDLY, Workday, and vendor systems and gather data for monthly program reporting.
- Maintain program knowledge resources, organize shared files, and keep intake forms, templates, and internal content up to date.
- Support communications, including inbox management, distribution lists, recap posts, announcement cross-posting, and Slack channel upkeep.
- Assist with vendor management administration by collecting monthly metrics, coordinating business reviews, and tracking follow-up items.
Skills
- 2+ years of experience in HR operations, staffing or recruiting operations, or program coordination.
- Experience working with a VMS or HRIS such as VNDLY, Workday, Fieldglass, or Beeline.
- Strong organizational skills and excellent attention to detail.
- Ability to manage sensitive, time-critical information with care, accuracy, and professionalism.
- Clear and effective communication skills for working with cross-functional partners.
- Strong prioritization and multitasking abilities in a fast-moving environment.
- Customer-service mindset with a proactive and solutions-oriented approach.
- Comfort using Google Workspace, including Docs and Sheets, and Slack.
- Reliable, responsive, and able to work through issues independently and collaboratively.
Preferred Skills
- Experience supporting contingent workforce programs.
- Familiarity with vendor management processes and cross-system data reconciliation.
- Interest in using automation and AI to improve daily workflows and operations.
- Experience supporting onboarding coordination, ticket triage, or operational process improvement.
