We are seeking a highly organized Administrative Assistant / Project Coordinator to provide onsite support for managers and directors in a fast-paced environment. This 5-month contract role is ideal for someone who thrives on managing competing priorities, improving processes, and keeping operations running smoothly through strong coordination and communication.
Responsibilities
- Manage complex calendars, schedule meetings, and coordinate day-to-day administrative support for leadership
- Arrange onsite and virtual meetings, events, travel, and related logistics
- Prepare polished presentations, correspondence, and business documents
- Track expenses and assist with budget-related administrative tasks
- Support onboarding activities and office setup for new team members
- Help coordinate employee engagement events, including team gatherings and larger group activities
- Serve as a dependable point of contact for scheduling, communication, and administrative needs
- Maintain confidentiality and handle sensitive information with professionalism
- Anticipate scheduling conflicts and proactively resolve administrative issues
- Provide backup support to senior management as needed
Skills
- Proven experience supporting leaders in an administrative or coordination role
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and customer service
- Experience coordinating calendars, meetings, events, and team activities
- Solid project coordination abilities and attention to detail
- Proficiency with Microsoft Outlook, including advanced calendar management
- Working knowledge of Microsoft PowerPoint, Excel, Word, and other Office applications
- Ability to work independently in a desk-based, onsite environment
- Problem-solving mindset with a proactive and adaptable approach
Preferred Skills
- Previous experience as an Administrative Assistant, Executive Assistant, or Office Coordinator
- Background supporting internal communications initiatives
- Experience with travel and expense management systems
- Exposure to event planning for employee meetings, town halls, picnics, or similar gatherings
- Experience with project timelines, onboarding coordination, or office operations support
- Ability to suggest improvements to existing processes and workflows
