Join a fast-paced procurement operations team supporting Sales and Marketing initiatives through thoughtful process management, clear communication, and strong cross-functional collaboration.
Prefer local candidates to San Francisco California or Seattle Washington who are willing to occasionally go onsite, but open to remote for the right fit. Ideal for someone who enjoys improving workflows, resolving request issues, and helping internal stakeholders move work forward efficiently.
Responsibilities
- Review incoming purchase requests for completeness, identify missing information, and help keep intake work moving within expected service levels.
- Support contract routing and status tracking across procurement workflows.
- Monitor the request queue, identify stalled items, and proactively follow up to unblock work.
- Respond to routine questions through Slack and other internal channels using documented guidance and escalate more complex issues when needed.
- Assist with office hours and help educate stakeholders on procurement processes and expectations.
- Support month-end close activities by reviewing open and stale purchase orders, helping gather accrual and spend data, and partnering with Finance and Accounting teams.
- Help maintain process documentation, decision trees, playbooks, and how-to guides.
- Look for recurring questions, trends, and process gaps, then recommend improvements that reduce repeat issues and improve efficiency.
- Partner closely with procurement operations and internal business teams to keep workflows organized and moving smoothly.
Skills
- 3–5 years of experience in procurement operations, accounts payable, finance/accounting, or a related operational role.
- Background supporting Sales and Marketing procurement needs.
- Experience managing high-volume requests, workflows, or queue-based work.
- Experience improving operational processes or building scalable solutions for recurring issues.
- Strong written and verbal communication skills with the ability to explain processes clearly to a wide range of stakeholders.
- High attention to detail and the ability to spot errors, validate information, and follow through on open items.
- Strong problem-solving skills with a proactive, thoughtful approach to escalation and issue resolution.
- Comfort working in a fast-paced, ambiguous environment while staying organized and responsive.
- Experience creating or maintaining documentation, guides, or process support materials.
- Collaborative mindset with a strong customer service approach and the ability to work across teams.
- Ability to learn complex systems quickly and handle tasks end-to-end with minimal supervision.
Preferred Skills
- Experience with Zip or another procurement platform.
- Exposure to Ironclad or similar contract management tools.
- Prior experience with month-end close, vendor reconciliation, or accrual support.
- Familiarity with Excel or Google Sheets for reporting and data review.
- Experience producing documentation for non-technical audiences.
