Join a dynamic community impact team in a hands-on role that keeps grants operations running smoothly while supporting a major grants-management implementation. This temporary position is ideal for someone who thrives on organization, clear communication, and keeping multiple priorities moving forward with accuracy and care.
Responsibilities
- Maintain accurate and up-to-date records for applicants, grantees, awards, payments, reporting, and related documentation.
- Serve as a responsive first point of contact for routine questions, status updates, reminders, and information requests from applicants and grantees.
- Track active grants, deadlines, follow-ups, and outstanding actions, and escalate issues or decisions when needed.
- Coordinate administrative tasks across the grant lifecycle, including intake, review support, award communications, agreements, payments, reporting, and closeout.
- Prepare organized packets, status updates, meeting materials, decision logs, and follow-up documentation for internal stakeholders.
- Support cleanup, validation, and migration preparation for grant records and related files.
- Help manage an implementation timeline, task tracker, decision log, and risk log for a grants-management platform rollout.
- Coordinate meetings, notes, action items, and information exchange across internal teams and external partners.
- Support testing, training, documentation, and post-launch readiness activities.
- Create clear process documentation and a strong handoff package to support operational continuity.
Skills
- Bachelor’s degree or equivalent relevant experience in nonprofit management, public administration, business, project management, communications, or a related field.
- At least 3 years of experience in grantmaking operations, nonprofit administration, database administration, program coordination, project management, or a related area.
- Experience maintaining detailed records and coordinating deadline-driven workflows.
- Strong written communication skills and a professional, service-oriented approach.
- Ability to manage multiple priorities, track dependencies, and document decisions clearly.
- Proficiency with Microsoft 365, spreadsheets, shared file systems, databases, and virtual collaboration tools.
- Ability to handle confidential information and work within established approval and data-security practices.
- Strong organization, accuracy, follow-through, and judgment in knowing when to escalate issues.
Preferred Skills
- Experience with YourCause, GrantsConnect, CSRconnect, or another grants-management or corporate social-impact platform.
- Background supporting software implementation, data migration, user acceptance testing, training, or change adoption.
- Knowledge of grant agreements, charitable due diligence, payment administration, nonprofit reporting, scholarships, or impact data.
- Experience in a corporate foundation, corporate giving program, community-impact team, or nonprofit organization.
- Ability to create practical documentation, workflows, and handoff materials that support long-term continuity.
