Join a dynamic workplace team as an Office Administrator supporting a Boston-based office in a part-time, on-site role. This position is ideal for someone who enjoys creating a welcoming environment, keeping operations running smoothly, and contributing to a positive employee experience every day.
Responsibilities
- Oversee day-to-day office operations to help maintain a clean, safe, organized, and efficient workplace.
- Conduct regular office walkthroughs and address operational needs proactively.
- Monitor office, kitchen, and facilities supplies, including ordering, restocking, and inventory tracking.
- Serve as the main point of contact for facilities and IT issues by submitting, tracking, and following up on tickets.
- Coordinate with building management and external vendors for maintenance, repairs, cleaning, and related services.
- Receive, sort, and distribute mail and deliveries appropriately.
- Partner with internal teams to support office operations, workplace needs, and on-site programs.
- Plan and help execute site events, employee engagement activities, and seasonal celebrations.
- Support daily food and beverage programs, including snacks, meals, and refreshments.
- Help maintain internal office documentation and site-specific information pages.
- Track office spending and support administrative requests as needed.
- Assist with local onboarding and orientation for new hires.
- Support space planning efforts and help prepare for future team growth.
- Provide logistics and technology support for meetings and broadcasts when needed.
Skills
- 2 to 5+ years of experience in office administration, workplace operations, or a similar support role.
- Strong organizational skills and the ability to manage multiple priorities independently.
- Excellent communication skills, both written and verbal.
- Experience working with vendors, building operations, or facilities support.
- Proven ability to provide responsive, professional, employee-facing service.
- Comfort working in a fast-paced environment with changing needs.
- Proficiency with Google Workspace.
- A proactive, solution-oriented mindset with strong attention to detail.
Preferred Skills
- Experience supporting events, workplace culture initiatives, or employee engagement programs.
- Background in a high-growth technology environment.
- Familiarity with onboarding coordination and workplace documentation management.
- Experience supporting office budgeting or expense tracking.
- Ability to build strong working relationships across teams and with external partners.
