Join a dynamic workplace team supporting a busy, fast-paced office environment where you’ll help keep operations running smoothly, spaces functional, and employees supported. This onsite Facilities Coordinator role is ideal for someone who enjoys hands-on problem-solving, coordinating vendors, and managing day-to-day building needs with professionalism and care.
Responsibilities
- Coordinate with vendors that support daily office operations, including deliveries, supplies, and janitorial services.
- Respond to workplace and facilities tickets promptly and provide clear, service-focused support.
- Address urgent building issues such as elevator outages, restroom leaks, and appliance malfunctions by engaging the appropriate vendors or resources.
- Complete minor repairs and maintenance tasks as needed while coordinating more complex work with external partners.
- Support emergency response efforts in partnership with Security and help maintain compliance with local requirements.
- Own HVAC-related coordination, including preventive maintenance, larger projects, and vendor relationships.
- Lead office move coordination, restacks, and workspace reconfigurations from planning through execution.
- Set up furniture and workstation arrangements for meetings, events, and employee needs.
- Help maintain standard operating procedures and contribute to a positive office culture.
- Partner closely with People Operations, Security, site coordinators, and vendors to support a safe and welcoming workplace.
Skills
- 4+ years of experience in facilities coordination or building operations.
- Working knowledge of HVAC, elevators, plumbing, lighting, and other facilities systems.
- Experience coordinating office moves, restacks, or reconfigurations.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent communication and customer service skills.
- Ability to take initiative, solve problems, and stay effective in a fast-paced environment.
- Comfort with hands-on work and a willingness to support a variety of operational tasks.
- Ability to lift up to 50 pounds.
Preferred Skills
- Experience managing HVAC projects or a preventive maintenance program.
- Background supporting moves or restacks in a multi-building or high-growth environment.
- Prior vendor management experience.
- Experience with permit, license, and inspection requirements.
- Familiarity with food and beverage service or hospitality support.
- Interest in artificial intelligence and its safe, beneficial development.
- Experience in a tech company or startup environment.
