Join a dynamic workplace experience team as the first point of contact for guests, visitors, and employees in a busy headquarters environment. This front-of-house role combines hospitality, coordination, and operational support to help create a welcoming, organized, and seamless experience throughout the day.
Responsibilities
- Greet guests, visitors, and employees at the front desk, manage check-ins, issue visitor badges, and direct people to meeting rooms, amenities, or other destinations
- Monitor visitor flow and keep arrivals moving smoothly during busy periods, while supporting a polished and welcoming front reception experience
- Receive, sort, and route deliveries, packages, and front desk inquiries, escalating issues as needed to the appropriate team
- Provide guest support by answering basic questions, sharing directions, assisting with Wi-Fi or other simple needs, and helping visitors feel cared for throughout their stay
- Support scheduling coordination for meetings and events, helping resolve calendar conflicts and maintain an organized daily flow
- Perform regular walkthroughs of reception, meeting rooms, and shared spaces to restock supplies, reset rooms, and flag facility concerns
- Assist with event room setup and breakdown, ensuring furniture, technology, and amenities are arranged according to specifications
- Help support enrichment or programming activities with setup, registration, and guest check-in as needed
- Maintain accurate visitor logs and front desk notes, and help prepare information needed for recurring reports
- Partner closely with Security, Facilities, and workplace experience teammates to keep operations running smoothly and professionally
Skills
- 2–3 years of experience in a front desk, reception, concierge, hospitality, customer service, or similar guest-facing role
- Strong working knowledge of Google Calendar and Slack
- Experience with visitor management or badging systems and basic scheduling tools
- Comfort managing multiple priorities in a busy, high-traffic environment
- Clear, professional communication skills, both written and verbal
- Ability to stay calm, organized, and solution-oriented when handling frequent interruptions or changing needs
- Strong attention to detail and the ability to follow procedures, checklists, and service standards carefully
- Ability to work independently while also collaborating effectively with cross-functional partners
- Dependability around desk coverage, handoffs, and punctual day-to-day presence
- Ability to meet the physical demands of the role, including standing for extended periods, walking throughout the building, and lifting up to 25 pounds repeatedly
Preferred Skills
- Background in a corporate office, hotel, executive briefing center, or event venue
- Experience working with Security and Facilities teams
- Familiarity with Microsoft Office or Google Workspace
- Experience supporting events, room setup, or workplace programming
- Exposure to fast-paced technology or workplace operations environments
- Interest in workplace hospitality, wellness programs, or employee amenities
- A proactive mindset with a willingness to suggest improvements and take initiative
- Professional discretion when interacting with executives, VIP guests, vendors, and employees
