Join a dynamic roofing program team supporting capital replacements, warranty work, and assessment-driven projects in a fast-paced, cross-functional environment. This Project Coordinator role focuses on keeping portfolios organized, project milestones on track, and work orders moving smoothly from activation through closeout.
Responsibilities
- Support portfolio administration by validating site drawings, maintaining project records, and helping keep data accurate across multiple systems.
- Update Smartsheet for real-time visibility, including cleaning up legacy data and managing access permissions and Dynamic View settings.
- Maintain roofing portfolio information in Maximo and support asset updates with accurate, timely data.
- Track skylight-related dates, milestones, and scheduling details to ensure project progress is clearly documented.
- Assist with opening and managing locations in SAP and Skylight to support project activation.
- Bulk load work orders for roof replacements, warranty items, and assessment follow-up work for vendors.
- Support project closeout activities to help ensure documentation is complete and payments are processed on time.
- Coordinate milestone tracking, contract documentation, kickoff calls, and project meetings.
- Draft communications for store and field teams related to planned and unplanned work.
- Monitor internal feedback channels and help identify valid issues to reduce unnecessary escalations.
- Support ad hoc reporting, business reviews, and portfolio updates as needed.
Skills
- Strong ability to manage multiple priorities while maintaining accuracy and attention to detail.
- Comfort learning and working in systems such as Smartsheet, Skylight, SAP, Maximo, Procore, and Microsoft Office.
- Excellent organizational skills with the ability to track deadlines, milestones, and documentation across several workstreams.
- Clear written and verbal communication skills for coordinating with cross-functional partners.
- Customer service mindset with a collaborative, solution-oriented approach.
Preferred Skills
- Experience supporting facilities management, construction coordination, or capital project programs.
- Familiarity with portfolio administration, work order management, or project closeout processes.
- Experience handling data cleanup, access management, or reporting in project tracking tools.
- Ability to adapt quickly in a changing environment while staying organized and responsive.
