Join a dynamic learning and development transformation team supporting engaging, high-quality learning experiences across in-person, hybrid, and virtual environments. This operations-focused role is ideal for someone who thrives on coordination, communication, and keeping complex programs running smoothly from planning through execution.
Responsibilities
- Coordinate room bookings, calendar logistics, and location details for learning sessions and related events.
- Support participant enrollment, roster updates, distribution lists, and access to internal groups and resources.
- Manage shared inboxes and route questions to the right team members in a timely manner.
- Draft and send clear communications to facilitators and participants, including session details, setup instructions, and reminders.
- Support certification operations such as completion tracking, reward distribution, recognition activities, and celebration events.
- Prepare and organize learning materials, session recordings, and digital assets in shared repositories.
- Order, track, and distribute swag, recognition items, catering, snacks, and supplies as needed.
- Administer learning platform tasks such as group maintenance, assessment setup, scheduling, and results reporting.
- Track attendance, gather feedback, and compile post-session reporting and action items.
- Assist with survey distribution, measurement coordination, retrospectives, invoice processing, vendor expense tracking, and budget documentation.
- Maintain the Training Action Plan, including timelines, risks, gaps, materials, and resource updates.
- Provide day-of support for sessions, including participant coordination, speaker support, attendance nudges, and Q&A/chat assistance.
Skills
- Experience in learning operations, training logistics, event coordination, or program administration in a corporate environment.
- Strong organizational skills with the ability to manage multiple priorities and details at once.
- Comfort working with calendars, shared inboxes, distribution lists, and coordination tools.
- Clear written communication skills and the ability to create professional participant and facilitator messaging.
- Ability to work cross-functionally and respond quickly in a fast-paced environment.
- Dependable, proactive, and customer-service oriented approach to supporting teams and learners.
- Attention to detail and a commitment to accurate tracking, reporting, and follow-through.
Preferred Skills
- Experience supporting certification programs or digital learning platforms.
- Familiarity with reporting, survey coordination, and post-event analysis.
- Experience with SharePoint or similar tools for managing learning assets and digital files.
- Exposure to invoice processing, vendor coordination, or budget support.
- Comfort supporting virtual sessions with participant engagement and live session assistance.
