We are seeking a detail-oriented and proactive Scientific Programs Specialist to support the planning and execution of meetings. This position offers an exciting opportunity to work in a dynamic environment within a scientific organization.
Responsibilities
- Coordinate the abstract submission process and manage program content for scientific meetings.
- Collaborate with program organizers to develop and publish online program bulletins.
- Oversee the sorting, review, and publication of scientific abstracts, ensuring data accuracy.
- Respond to inquiries from attendees and speakers, providing excellent customer service.
- Prepare and distribute reports, instructions, and sorting documentation related to abstracts.
- Manage logistics for meetings, including the shipment of materials and production schedules.
- Assist with additional tasks as assigned, including website updates and interdepartmental coordination.
Skills
- Minimum of two years of relevant professional experience, particularly in data entry and administrative support.
- Proficiency in Microsoft Office, Google Workspace, and project tracking tools.
- Strong organizational and interpersonal skills with the ability to work independently and collaboratively.
- Exceptional attention to detail and ability to prioritize tasks effectively.
- Excellent written and verbal communication skills for diverse audiences.
Preferred Skills
- Experience in a scientific nonprofit environment and familiarity with abstract management systems.
- Proficiency in Salesforce/Nimble AMS and Planstone.
- Strong proofreading and editing capabilities.
- Ability to adapt to rapidly changing schedules and work in fast-paced environments.
