JOB DESCRIPTION

Join a dynamic team as an Executive Assistant, where you'll play a crucial role in supporting the Meetings Department Executives by providing top-level assistance and ensuring smooth operations. This full-time contract position offers a unique opportunity to contribute to impactful scientific gatherings.

Responsibilities

  • Provide comprehensive support to the Director and Associate Director, including managing calendars and coordinating appointments.
  • Serve as the primary contact for stakeholders, handling inquiries and preparing meeting materials.
  • Coordinate travel arrangements and assist with special projects, ensuring timely and professional execution.
  • Prepare and proofread correspondence, reports, and presentations to ensure accuracy and clarity.
  • Support budget tracking and financial administration related to meetings and events.
  • Organize logistical arrangements for meetings, including virtual setups and on-site requirements.

Skills

  • Proven experience as an administrative assistant or similar role, with strong organizational and communication skills.
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Strong interpersonal skills to build relationships with diverse stakeholders.
  • Proficiency in tools like Zoom, Google Suite, Microsoft Office, Salesforce, and ASANA.

Preferred Skills

  • Experience in event planning, association management, or a related field.
  • Creative problem-solving skills and a proactive approach to process improvement.
  • Ability to adapt to changing schedules and work independently.
