Administrative Associate II

What You’ll Do

  • Provide administrative support for programs and associated program team members in the Civil Space Program Execution organization.
  • Perform a wide variety of administrative tasks.
  • Perform computer data entry, word processing, retrieval, and be able to learn and operate other computer software programs as needed.
  • Manage travel arrangements and reservations for program staff in accordance with the Company’s administrative policies and procedures
  • Prepare travel and business expense reports using Cost Point 8, according to policy.
  • Make conference room reservations.
  • Order office supplies, troubleshoot equipment issues, and report facility needs for the assigned work area.
  • Prepare various paperwork in support of program needs.
  • Assist with set-up and support for meetings with internal and external customers such as order catering.
  • May have to greet external visitors, and coordinate security access for visitors.
  • May help maintain program calendars and schedule meetings in Outlook.
  • Collaborate and contribute on teams and projects.
  • File and retrieve records, folders, or other materials.
  • Work with highly sensitive and confidential information and situations, requiring the employee to handle situations appropriately, and maintain proper confidentiality.
  • Maintain a regular and predictable work schedule.
  • Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Capabilities Units, and the Company.  Interact appropriately with others to maintain a positive and productive work environment.
  • Perform other duties as necessary.

On-Site Work Environment: This position requires regular in-person engagement by working on-site three or more days each normally scheduled week in the primary work location. Travel and local commute between company campuses and other possible non-company locations may be required.

Working Conditions

  • Work is performed in an office environment.

Required Education, Experience, & Skills

  • High School diploma or equivalent plus 2 or more years of related experience.
  • Each higher-level related degree, i.e., Associate’s, may substitute for two years of related experience.  Two years of related experience may be substituted for each year of education. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
  • Must have comprehensive computer knowledge (Microsoft Office Applications) and well-developed administrative skills.
  • Ability to work with considerable independence and as part of the team.
  • Must have ability to work under pressure and handle multiple assignments concurrently.
  • Demonstrated decision making based on knowledge of organization policies and procedures, and the program´s requirements.
  • Ability to maintain confidentiality concerning sensitive information is required.
