- Provides the project manager support and assistance in scheduling, documentation, budgeting and communication.
- Updates the project plan. Assists in information collection and validations. Facilitates collaborative documents and data stores.
- Helps prepare status reports and presentations. Excellent oral and written communication skills are required. Must have strong knowledge of MS Project, Excel, Word, and Visio. Experience with Financials, budgeting, & operational activities.
- The IT Portfolio Coordinator is responsible for conducting the operational aspects for designated IT teams, this role supports a portfolio that consists of multiple, cross-functional projects varying in complexity, scope, and duration, as well as operational activities.
- They will support team members and managers on financial, asset lifecycle, planning, and reporting activities of their respective domain.
- They are responsible for developing solid working knowledge of financial management processes and tools.
1) Operations –
- Ensure timeliness and quality of the administrative team deliverables including month-end processing, invoicing, in-servicing, portfolio reporting, KPI reporting, risk reserve management, portfolio planning, and continual process improvements.
- Support teams with administrative services, such as resource onboarding and access provisioning, project repository/site set-up, project set-up, administration, and closure.
- Responsible for operation of day to day purchasing and expenditure activities.
- Support adherence of ULC tools and processes, and other similar policies.
- Assists with management of portfolio financials including planning, budgeting, forecasting, variance tracking, calculating earned value metrics.
- Establish and conduct operational reporting for management. Support staff on understanding financial practices, procedures and status.
- Ensure financial transactions follow GAAP and client's policy, and are conducted in a timely and accurate manner. Liaise between IT, Capital Asset Accounting (CAA) and Finance to ensure timely and accurate in-servicing, and managed expenses.
- Compile information for and assist in reviewing the funding plan.
- Provide procedural instruction to team members on financial activities. Establish and provide subject matter expertise on transactional systems, including timecard, PPM, GL, contract and invoicing systems.
