A Day in the Life

  • In a morning meeting with one of the clinical study trial leaders, you review the current forecasts on project milestones and budget, and assist them with tools to document their action plan to address a growing budget variance.
  • Later that morning, you facilitate the Quarterly Clinical Operations Review with senior leadership, including discussing the latest budget forecasts for both project portfolio and infrastructure dollars. 
  • In this meeting, you use portfolio modelling tools to present two scenarios, guiding leadership towards a decision on resource allocation, advising on the pros and cons of each approach. .
  • After that meeting, you follow-up with functional managers and project leaders to define resource reallocations and discuss implications.
  • That afternoon, you join the staff meeting of the Study Management Director where you help them strategize two projects that are behind on schedule due to a temporary gap in staffing. 
  • You have earned the trust of these critical partners by sharing an insightful view of the staffing issues in the context of some expected seasonal variance in demand, pointing out critical details of the project plans, and reminding the team to adhere to the new best practice they came up with two quarters prior.
  • In contemplating on how the resourcing discussions went, you come up with enhancement ideas for the custom resourcing software we use, which you will later share with IT developer partners.
  • At your last meeting of the day, you join your PMO colleagues who are seeking your input on a new predictive analytics report, challenging some of their assumptions and giving them ideas on additional variables to include, based on what you've seen with recent projects in execution.

Responsibilities may include the following and other duties may be assigned.

  • Leads or leverages cross functional teams to evaluate, develop and manage projects for key business processes. 
  • Partners with Finance Specialists to provide department-level budget estimates, forecasts, and insights in regular meetings with senior clinical leadership. 
  • Oversees and manages the operational aspects of ongoing projects and serves as liaison between project management and planning, project team, and function management. 
  • Reviews status of projects and budgets; advises on schedules and prepares status reports. 
  • Monitors the project from initiation through delivery. 
  • Assesses project issues and develops resolutions to meet productivity, quality, and client-satisfaction goals and objectives. 
  • Develops mechanisms for monitoring project progress and for intervention and problem solving with project managers, line managers, and clients.

Performs independently and is accountable for the following tasks:

  • Develop, maintain and continuously improve the project management process, guidelines, tools / templates, best practices, and overall implementation. Train teams on adopted practices. Train and coach team members as well as new resources on project management methodologies/ best practices.
  • Seek and analyze information from all cross-functional sources to understand the project scope and what activities need to be accomplished (including who, how, duration and effort).
  • Partner with the clinical study teams to identify risk in clinical study lifecycle (planning through closure) deliverables and guide study teams in developing and executing mitigation plans.
  • Present to and partner with clinical leadership on the overall health of the portfolio, successes, and areas of opportunity.

Must Have: Minimum Requirements

  • To be considered for this role, the minimum requirements must be evident on your resume.
  • Bachelors degree and 7 years of program/project management experience and/or skills within the healthcare industry or advanced degree with a minimum of 5 years of program/project management experience and/or skills within the healthcare industry

Nice to Have (Preferred Qualifications):

  • Experience with budget creation, budget forecasting and management, AOP planning, interpreting and achieving targets set by Finance/Business Unit.
  • PMP certification; Project Management Certification (preferably PMI) and/or Green Belt Certification
  • client's Clinical Research experience
  • Expertise in MS Project (or similar scheduling software), project management techniques and tools; and both theoretical and practical aspects of project management
  • Advanced proficiency in MS Excel, PowerPoint, and Word
  • Experience in resource and expectations management in a matrix organization
  • Ability to drive to completion in adherence to aggressive project schedules
