Job Description:

  • Project Coordinator duties and responsibilities include providing support to ensure efficient operation of the Professional Education team.
  • Supports managers and employees through a variety of tasks related to organization and communication.
  • Responsible for confidential and time sensitive material.
  • Ability to effectively communicate via phone, this includes speaking regularly with physicians, nurses and the sales organization, in person and email ensuring that all tasks/projects are completed accurately and delivered with high quality and in a timely manner.

Responsibilities:

  • Ensure that HCP timesheets are sent to the HCP within 24 hours of HCP Engagement and follow up to ensure that the timesheet is returned and processed
    • Send HCP timesheet through DocuSign upon conclusion of program or once we have received case observation documentation from the field
    • Process payments using Concur Invoice
    • Upload the agenda (if applicable), timesheet, SOW, all backup documentation
    • Input data onto Smartsheet cost tracking spreadsheets and attach supporting documents
  • Ensure that all HCP W9s are attained from the HCP and processed through DocuSign
  • Initiate and process all HCP Consulting Agreements (Master Service Agreement and Statement of Work)
    • Nomination through SmartSheet
    • Once received, email the HCP for their CV
    • Send HCP W9 through DocuSign
    • Process the MSA, then the SOW through ContractHub
  • Partner with Jadyn Pemberton to update the peer to peer implant training center date calendar and post on Loop
  • Create and maintain a Master ProfEd Program Calendar
  • Assist Jadyn with reports and running data as needed
  • Input Master Pre-authorization data onto Smartsheet
  • Create contracts through procurement for certain vendors
  • Monitor CRM Professional Education Inbox
  • Review lecture and speaker transcriptions for accuracy
  • Support compliance audit process
  • Support and track customer facing programs
  • Manage details from contracting to analytics for customer facing programs
  • Collaborate with Professional Education and other key stakeholder to ensure business objectives and priorities are met
  • Maintain a log for all physician payments
  • Assist Prof Ed team in managing all customer programs
  • Ensure “compliance requirements” are included
  • HCP expenses of “airfare and hotel

Qualifications:

  • · 1 year experience project coordination
  • · Bachelor’s degree Exceptional communication skills and professional demeanor or proven experience in the project coordination field
  • · Exceptional organizational and prioritization skills with strong attention to details.
  • · Proactive problem solving.
  • · Able to work independently, make accurate decisions and handle multiple projects simultaneously.
  • · Familiarity with SmartSheet, Excel, Word or ability to learn quickly
  • · Able to work within a team and as an individual contributor in a fast-paced, changing environment.
  • · Experience in medical device, healthcare or pharmaceuticals preferred.
