The Events Coordinator is responsible for ensuring the successful and efficient operation of all event and trade show participation efforts working in a diverse, demanding environment. Additional responsibilities include managing branded and promotional materials, creation of sales collateral, and acting as the main point-of-contact for the sales and marketing teams, external vendors and others to ensure all marketing projects are delivered strategically, on-time and within budgetary requirements.


  • Provide support and assistance to Sales and Marketing Teams with the planning, developing, and producing of marketing, sales and event materials.
  • Participate in the delivery of materials at tradeshow, marketing events, floor days and vendor fairs, including promotional items that support a successful representation of the organization.
  • Manage development, production, and distribution of promotional and collateral materials for sales and marketing teams ensuring that they align with branding and budget requirements. Present materials to appropriate teams as needed
  • Research and make recommendations on tradeshows and other events that can support the organization’s strategic and sales efforts and alignment for maximum participation.
  • Collaborate with Sales teams and Channel Marketing Manager to assess what booth logistics and materials are needed.
  • Manage all aspects of tradeshow registration including shipping coordination, travel arrangements and other shipping and set up needs.
  • Track all trade show expenses, work within CRM system to tie costs to appropriate accounts.
  • Work on promotional items, as assigned, to identify appropriate items, shop for vendors who provide them, negotiate the best rate and ensure quality.
  • Responsible for inventory tracking, controls, vendor negotiations and financial control efforts. Inventory and manage all promotional products.
  • Assist Channel Marketing Manager with miscellaneous projects to raise brand awareness for publications represented at certain shows through various efforts.
  • Represent marketing department at event committee meetings. Assist committee with any marketing deliverables and other duties as needed for corporate and company events.
  • Work diplomatically and effectively across cross-functional teams.

  • Associate of Arts degree
  • Minimum two years of experience event planning and coordination.
  • Preference given to candidates with experience coming from the IT or Technology industry
  • Minimum of one-year period experience with sourcing, price negotiations and source with third-party vendors.
  • Ability to prioritize projects and see marketing programs from concept to completion.
  • Familiar with customer relationship management (CRM) systems. experience a plus.
  • Professional written, verbal, presentation and interpersonal communication skills that produce desired results.
  • Ability to effectively present information and respond to questions from internal and external customers which includes coworkers, managers, customers, regulatory agencies and vendors.
  • Capable of reading and interpreting information, such as reports, general correspondence and policy guidelines, with the ability to share with others as needed.
  • Ability to use a computer and standard business and other work-related software with minimal instruction.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, fractions and decimals.
  • Excellent active listening, decision-making, team building and customer service abilities.
  • Ability to work and prioritize independently with the capacity to collaborate with others.
  • Excellent time and organizational abilities with the ability to seek assistance in a professional manner.
  • Ability to manage multiple and varied projects simultaneously with minimal supervision while maintaining attention to detail.
  • Capable of demonstrating an understanding of, and being sensitive to, serving a culturally diverse customer base.
  • Demonstrated ability to learn and apply newly acquired feedback, skills, and knowledge.
  • Ability to maintain confidentiality and comply with professional ethics and standards.
  • Ability to learn and apply new competencies and information as to enhance individual job performance and make recommendations to the department.
  • Strong sense of urgency, accuracy, and follow through.
  • Ability to work independently and as a contributing team member; self-motivating
  • Proficient in Salesforce and Microsoft Office applications including PowerPoint, Excel, Word, etc.
  • Flexible, organized, personable; professional attire required.
