Description:

  • The Coding Process Coordinator (CPC) functions as the coordinator for the clinical and coding / charging aspects of Outpatient Charge Capture (LYNX) software implementations including analysis, planning, training and support.
  • S/he works with multi-disciplinary teams comprised of both internal employees and client representatives (employees/vendors).
  • The CPC works with the Technical Services Manager and other members of the project team to ensure that all coding / charging portions of each client implementation task plan are completed on time.
  • Primary responsibilities include work flow analysis and process redesign, development of site coding guidelines, CDM reviews, education and training, go-live support, and communication of coding project status and follow-up.
  • Other responsibilities include coding knowledge support for sales and marketing, clinical content development, and support for other Customer Operations or company-wide initiatives.
  • The CPC reports to the Manager of Technical Services and also may receive direction and support from our Compliance group as necessary.
  • The CPC will actively promote the corporate goals and vision of LYNX and represent the company, its products and services, and its personnel professionally at all times.
  • S/he will comply with all company regulations and do his/her part to maintain a positive, supportive and productive working environment.

ESSENTIAL JOB FUNCTIONS:

  • 1. A coding product implementation follows the general client implementation standards established by Customer Operations, which may include but not be limited to, the following activities. The CPC:
    • a. Reviews contract and client information to determine scope of coding / charging needs.
    • b. Participates in initial client calls – explains role, requests and disseminates necessary documents to facilitate the coding implementation process.
    • c. Administers coding assessment tests to assess level of client coding competency as appropriate. Makes recommendations based on findings.
    • d. Participates in client site reviews to analyze operational processes, systems, and current coding / charging process and compares client needs with contracted scope of services. Reviews current documentation formats and content to assess for deficiencies. Addresses concerns to project manager to optimize how the product and/or services will best integrate into the client’s processes and systems.
    • e. Is able to demonstrate OCC (LYNX) software products and address client concerns and questions.
    • f. Completes client coding guidelines document.
    • g. Obtains client chargemaster (CDM) and reviews for accuracy and completeness, and/or manages the review by the LYNX chargemaster analyst and approval of the client. Once finalized completes hand-off to the Technical Project Analyst for upload.
    • h. Configures the LYNX system for optimal coding / charging results. (The CPC will be trained in this as needed.)
    • i. Participates in weekly or periodic project meetings with members of the implementation team to review the project task plan and evaluate progress; provides input for training plans and go-live activities.
    • j. Proactively identifies project concerns, and communicates to the project manager and, as appropriate, to the Manager of Implementation Services.
    • k. Documents, and verbally communicates as needed, task status and progress to facilitate a smooth implementation.
    • l. Documents all project/client hours and submits billable and non-billable hours for invoicing according to acceptable established Customer Operations timeframes.
    • m. Provides remote and on-site training for LYNX documentation and coding / charging applications, including reports training and the use of administrative setup tools.
    • n. Provides education and training on E/M visit level charging / coding, CPT charging /coding and ICD-9 coding.
    • o. Works with the implementation team as applicable to review and improve the return on investment of the LYNX applications.
  • 2. Develops and maintains end user training tools and education material as requested. Initiates and/or participates in the development of training materials and end user documentation in both paper-based and electronic formats.
  • 3. Obtains client evaluations from education and training sessions and utilizes feedback to continually improve processes, education strategies and formats. Participates in quarterly review of feedback with supervisor in team meeting.
  • 4. Maintains a solid understanding of software products’ functionality and optimal end user application of associated features and functions. Promptly communicates bugs, client concerns, enhancement requests or application changes to project manager and others as appropriate.
  • 5. Maintains an understanding of hospital system data flows from the Emergency Department, HIM systems and billing systems. Maintains an understanding of paper and patient flows initiated in the ED, during and after patient care, and patient billing.
  • 6. As requested by sales staff and/or senior management, participates in sales opportunities to help close product/service contracts. Performs product demonstrations and provides compliance, coding, clinical content, and application information as needed.
  • 7. Pursues opportunities to enhance client relationships and client use of LYNX products and services through identification of client needs, sharing coding and process knowledge, and demonstrating expertise with LYNX systems and strategies.
  • 8. Continually seeks ways to improve the implementation process by identifying changes that will enhance LYNX ability to deliver high-quality, high-performance products and services.
  • 9. Obtains and maintains appropriate knowledge level of functional and operational aspects of company products, procedures and services. Is able to plan and conduct meetings as needed, report meeting summaries and follow up on outstanding issues.
  • 10. Keeps knowledge and awareness of coding and healthcare issues up-to-date through membership in professional organizations, industry networking, and review of professional journals and LYNX Coder Education Packets. Shares knowledge with others in the process of implementations, orientation of new employees, and when other opportunities present themselves.
  • 11. Presents a positive image and demonstrates a superior customer service orientation when interacting with clients. Promotes and supports the corporation, its products/services, and its affiliates (employees, contractors, and agents) at all times.
  • 12. Maintains strict confidentiality with patient, client, company and employee data in adherence to LYNX / HIPAA privacy and security policies.
  • 13. Adheres to the company’s commitment to abide by Federal and State laws and regulations relating to billing, coding, referral relationships, and other areas of potential fraud and abuse risk. Agrees to abide by company work rules, policies, and procedures, as well as the corporation’s Compliance Plan and its Code of Conduct. Participates in initial and ongoing training sessions covering compliance policies and reporting expectations as a condition of continued employment. (NOTE: failure to adhere to company standards of conduct, policies, or procedures will result in disciplinary action ranging from written warning or reprimand up to and including termination of employment.)
  • 14. Other related tasks and functions as assigned.
